HubSpot integration

Connect HubSpot to import deals, their primary companies, deal owners, and pipeline stages into Metric AI. HubSpot deals can become Metric AI deals or be converted to projects according to the stages you select. The integration reads data from HubSpot; it does not update HubSpot records.

Before you begin

  • You need permission to create integrations in Metric AI.
  • You need access to the HubSpot account you want to connect and permission to approve the requested access to companies, deals, and owners.
  • Decide which HubSpot deal stages should create Metric AI deals and how those stages should set deal status. You can change these choices later.

Connect HubSpot

  1. In Metric AI, open Settings , navigate to Integrations , and select New integration .
  2. Select HubSpot. Metric AI opens the authorization flow.
  3. Sign in to HubSpot, select the account to connect, and approve access. Metric AI opens the configuration page after first-time authorization. For an existing integration, select Configure.
  4. Select the HubSpot stages under Stage to Import Deals. Configure the other settings described below, then select Save.
  5. Return to Settings › Integrations , open the HubSpot integration, and select Force update to run an import now, or wait for the next scheduled run.
  6. After the import, review the Projects, Clients, and Employees tabs. Map any unmatched HubSpot records to existing Metric AI records where needed, then save the mappings.

By default, Metric AI runs the HubSpot integration automatically every four hours. You can trigger an import at any time with Force update. Review the imported records in Deals .

Configure deal stages

Each stage selector accepts multiple HubSpot stages. Stages are shown with their pipeline names so you can distinguish stages with the same name in different pipelines.

Metric Deal Status: ActiveSets a mapped Metric AI deal to Active.
Metric Deal Status: PlanningSets a mapped Metric AI deal to Planning.
Metric Deal Status: ClosedSets a mapped Metric AI deal to Closed. Select Unavailable here to close a previously imported deal if it is no longer returned by HubSpot.
Stages for Conversion to ProjectConverts a mapped Metric AI deal to an active project when the HubSpot deal reaches one of these stages.
Warning

Selecting a Won stage for conversion can also turn historical Won deals into Metric AI projects and affect historical revenue. If some historical Won deals should not become projects, first import with Won excluded from Stage to Import Deals and Stages for Conversion to Project. On the integration’s Projects mapping tab, set those deals’ Metric Project mapping to Don’t import and save. Then add Won to Stages for Conversion to Project, and to Stage to Import Deals if new Won deals should be imported automatically.

After conversion, later imports do not update the Metric AI project’s name, deal stage, status, probability, close date, or budget amount from HubSpot. Moving the HubSpot deal back to an earlier stage does not turn the project back into a deal. The primary company assignment can still sync if Import Client Assignments is set to Import for deals and projects.

Select Stage to Import Deals to control which HubSpot deals Metric AI creates automatically. Choose status and conversion stages separately. Keep a HubSpot stage in only one status or conversion group so its result is clear.

Configure deals and budgets

Sync Deals NamesKeeps the names of existing Metric AI deals in sync with HubSpot. New deals receive their HubSpot name when created. Off by default.
Deals Budget TemplateUses the selected enabled budget template for new deals unless a Deal Template supplies one. With Sync Deal Amount to Budget enabled, it also replaces the budget template on existing mapped deals. If none is selected, Metric AI uses the default budget template.
Deal TemplateApplies a Metric AI deal template when a new deal is created. When selected, its budget takes precedence over Deals Budget Template, except when Sync Deal Amount to Budget is enabled.
Sync Deal Amount to BudgetUses the HubSpot deal amount to update a Metric AI deal’s fixed fee budget when the selected budget template supports fixed fees. When enabled, this overrides the deal template’s budget. Off by default.

The Deal Template setting is not shown for every organization. Create a deal template  in Metric AI before selecting one here.

Configure clients and owners

Client Auto MappingDon’t Auto-map leaves companies for manual mapping. Auto-map by names matches an existing Metric AI client by name. Auto-create by names first matches by name, then creates a client if no match exists. Defaults to Don’t Auto-map.
Client Auto-creation LimitMaximum number of clients the integration can create in one import. Defaults to 15.
Sync Client NamesKeeps mapped Metric AI client names in sync with HubSpot company names. Off by default.
Import Client AssignmentsChoose Do not import, Import for deals, or Import for deals and projects to control whether a deal’s primary HubSpot company is assigned as a client in Metric AI. Defaults to Do not import.
Owner Custom FieldStores the HubSpot deal owner in a selected Metric AI employee custom field for deals. Map HubSpot owners on the Employees tab so the field can refer to the right people.

Only the primary company of each mapped HubSpot deal is considered for client import. If you leave auto mapping off, map those companies on the Clients tab before expecting client assignments to appear.

Create an employee custom field for deals in Settings › Custom Fields  before selecting it under Owner Custom Field.

Change or reconnect the integration

Open Settings › Integrations , choose HubSpot, and select Configure to change these settings. Use Reauthorize if HubSpot access needs to be renewed; select the same HubSpot account already linked to the integration. Review the mapping tabs and Status after the next import.
