Creating Allocations
This guide walks you through the process of creating new allocations in Metric AI. Allocations help plan and manage resource availability across projects and people.
1. Open the Planner
You can start creating allocations from several planning views:
- Organization-wide planning: Organization › Planning ↗ – View planning across the entire organization.
- Personal planning: Home › My Planning ↗ – Access a personalized view of your own allocations.
- Project-specific planning: Projects › a Project › Planning – Focus on allocations for a specific project.
- Tag-based planning: Tags › Client › a Client › Planning – View planning based on specific tags, such as Client or Role.
- Individual-based planning: People › a Person › Planning – See planning details for a specific employee.
2. Start a New Allocation
You can create a new allocation in two ways:
- Click the + New Allocation button.
- Or click on a cell in the planner grid and drag to stretch the allocation over the desired time range.
3. Choose Allocation Type
Select one of the following types to define the nature of the allocation:
- Hard Allocations: Book resources for tasks or projects, directly impacting project and organizational finances.
- Soft Allocations: Tentatively assign resources while plans are being finalized.
- Sales Allocations: Reserve resources for potential opportunities or upcoming projects.
4. Select Employee or Group
Choose who the allocation is for:
- Specific Person – Assign directly to an individual.
- Allocatable Tag – Use a tag (e.g., Role) if the exact person is not yet known.
5. Assign Project and Task
Select the relevant Project and associated Task the allocation applies to.
6. Choose Schedule Type
Decide how the hours should be distributed:
- Per Day: Fixed number of hours per working day (e.g., 8h/day).
- Weekly: Weekly schedule with custom hours per day (e.g., Mon–Thu: 8h, Fri: 6h).
- Total: Set a total number of hours and let the system distribute them across the selected date range.
7. Set the Dates
Choose the start and end dates for the allocation.
8. Include Non-Working Days
Decide whether to include weekends or holidays in the allocation.
Note: This setting is only available for Per Day and Weekly schedule types.
9. Add a Comment
You can leave a comment to provide context or instructions about the allocation.
10. Save the Allocation
Click Save to create the allocation and add it to the planner.
